Sales Operations Specialist

Summary Job Description:
- Review sales and activity reports to identify trends, missing data, and follow-up gaps, and summarize findings for Sales Operations and sales leadership.
- Prepare client-ready materials, reports, and other approved support materials for sales meetings, proposals, and prospect or client follow-up.
- Assist relationship managers by gathering financial, product, and competitive information needed for client meetings and sales activities.
- Leverage approved AI tools to assist with data validation, report preparation, analysis, and drafting routine communications and summaries, ensuring outputs are reviewed for accuracy, confidentiality, and alignment with PCBB policies.
- Identify opportunities to improve data quality, reporting consistency, and sales support processes, and partner with stakeholders to implement approved changes.
- Collaborate closely with Sales Operations, Marketing, product specialists, and Management to ensure alignment on data standards, reporting definitions, lead and campaign handling, and use of PCBB’s product materials.
- Document and maintain standard operating procedures and data standards for key sales support and Salesforce data-quality processes, in coordination with Sales Operations and the Salesforce Administrator.
- Monitor key sales deadlines, open items, and follow-up needs, and proactively remind relationship managers and leadership as needed.
- Perform other duties as assigned by the VP, Sales Operations Analyst.
- Maintain and update Salesforce accounts, contacts, opportunities, and activities to ensure accurate and consistent sales data.
- Build, run, and refresh Salesforce reports and dashboards to support pipeline reviews, and reporting.
- Provide day-to-day Salesforce support to the sales team, including basic troubleshooting, process guidance, and reinforcement of data standards.
- Coordinate and track sales activities and follow-up tasks to ensure interactions and opportunities are properly maintained in Salesforce.
- Support review and update of conference and event contact lists to ensure timely sales follow-up.
- Strong analytical, organizational, and communication skills, with the ability to interpret sales data and present clear, actionable insights.
- Strong attention to detail, quality control, and customer service, with the ability to manage multiple priorities and work effectively with internal and external stakeholders.
- Demonstrated ability to work independently, take initiative, and complete follow-up and clean-up tasks with limited supervision.
- Strong experience with Salesforce CRM, including the ability to run, modify, and interpret standard reports and dashboards and ensure consistent, high-quality data entry.
- Advanced proficiency in Microsoft Excel, including complex formulas, pivot tables, lookups, data validation, and basic data cleansing.
- Solid Microsoft Word and PowerPoint skills for reporting and presentations.
- Comfort using AI-powered tools to enhance efficiency in reporting, documentation, and analysis, with sound judgment about data quality, confidentiality, and when human review is required.
- Undergraduate degree (BA/BS) or equivalent experience.
- 3+ years of experience in sales support, sales operations, or business/sales support role, preferably in banking or financial services
